# Selling tickets on Headtilts: how it works, end to end

Headtilts runs your ticket sales from the first event page to the last scan at the door, and earns a commission on each ticket sold. You set the event up and decide on refunds. We run the checkout, the tickets, the emails and the door tools.

## At a glance

### Your own event page

Dates, venue, speakers, agenda, ticket types and calendar links in one place

### Online payment by Razorpay

Buyers pay on the page, and each payment is checked with Razorpay before a ticket is issued

### Automatic tickets by email

Every confirmed buyer gets a QR ticket and a page to manage their booking

### Door scanner on any phone

Your staff scan tickets at the entrance, with a clear answer for each one

### Refunds on your terms

Set a refund window for each event. Refunds it promises go out by themselves, and you decide on the rest

### Simple commission

5% + ₹20 a ticket, which by default stays the same if a ticket is later refunded

An event page and its booking form. Every name and figure in these screenshots is demo data.

## The whole journey

Five stages take an event from set-up to settling up. Read each row across to see who does what at that stage. The sections below cover each stage in more detail.

Stage

You, the organiser

Your buyer

Headtilts

1\. Set up

Create the event, tickets and team access

Finds your event page once it is published

Publishes the event page with calendar links

2\. Sell

Share the event link with your audience

Chooses tickets and pays through Razorpay

Holds the seat 15 minutes and checks the payment

3\. Confirm

Approve registrations, if you chose to review

Gets a QR ticket and a booking page by email

Issues the ticket and records the sale

4\. Event day

Your staff scan tickets on their phones

Shows the QR code at the door

Gives each scan a green, amber or red answer

5\. Settle up

Receive ticket sales less commission and refunds

Receives the refunds your rules give, and any you approve, and hears your answer either way

Keeps the commission on tickets sold, as your agreement sets

## Setting up your event

### Event details

Add a description, banner, venue and map, or a link for an online or hybrid event

### Lineup and agenda

List speakers and a timed agenda on the event page

### Ticket types

Create several tiers, each with its own name, price and stock. Prices are in rupees, from ₹1, or free

### Sale windows

Open and close each ticket type on the dates you choose

### Order limits

Set the fewest and most tickets per order, up to 20

### Limit per person

Cap tickets per person, matched on email address and phone number

### Capacity

Set a total for the event, or leave it unlimited

### Registration deadline

Choose when sign-ups close

### Refund window

Choose what a buyer who cancels gets back: nothing, a full refund until the event starts, or a full refund up to 24 hours, 2, 3 or 7 days before. The event page shows the rule under the Pay button

### Approval

Review each registration before a ticket is issued

### Email confirmation

Hold free tickets until the person clicks a link, which keeps out made-up addresses

### Custom questions

Ask for what you need at sign-up, such as a choice from a list or a checkbox

### Repeating dates

Run daily, weekly, monthly or yearly dates, each with its own page and deadline

### Your team

Give people separate access, such as door scanning only, with refunds kept to those you choose

Each ticket type has its own price, stock, order limits and sale window.

## What your buyers experience

### Choose

They pick a ticket type and quantity. Tickets that are sold out or outside their sale window are clearly marked.

### Fill in the form

They give a name, an email address, and answers to any questions you added.

### Pay

Razorpay’s checkout opens on the page. Their seat is held for 15 minutes while they pay.

### Get the ticket

Once payment is confirmed, an email arrives with the QR ticket, calendar links and directions.

### Manage the booking

Their booking page shows the ticket, and lets them cancel until the event starts.

Razorpay’s checkout opens on the event page. Shown from a test payment.

## The ticket arrives by email

Once payment is confirmed, an email arrives with the QR ticket, calendar links and directions.

## Their booking page

It shows the ticket, and lets them cancel until the event starts.

## Where each booking ends up

The page always tells people where they stand. Depending on your settings, a booking can end in one of three states.

Outcome

When it happens

What the buyer is told

Confirmed

A place is available and no approval is needed

They receive their ticket straight away

Waiting for approval

You chose to review registrations

You will check it, and the ticket comes once approved

Waitlist

A free event is full

If a place opens up, the organisers will be in touch

Paid events have no waitlist, because nobody pays to wait in line. A full paid event shows as sold out.

## How the money works

Headtilts earns a set commission on every ticket sold, worked out on the sale price when the ticket sells. By default, a later refund does not reduce it. Your agreement can instead give the commission back on refunds, in proportion to what is refunded.

Figures for illustration, before payment gateway charges.

Refunds come out of the organiser’s share, because the organiser sets the refund rules and decides on the rest. Using the same example, this is how the two ends of the range work out under each choice.

Scenario

Ticket sales

Commission

Refunds to buyers

Organiser’s position

No refunds

₹1,00,000

₹10,000

₹0

Receives ₹90,000

All 100 tickets refunded, commission given back

₹1,00,000

₹0

₹1,00,000

Receives nothing and owes nothing

All 100 tickets refunded, commission kept (the default)

₹1,00,000

₹10,000

₹1,00,000

Owes ₹10,000

Under the default terms, cancelling an event and refunding every ticket still carries the commission. It is worth weighing this when you decide on dates and sale windows.

## Commercial terms

### Commission rate

5% + ₹20 a ticket as standard, paid out of ticket sales. The 10% in the example above just keeps the sums round

### Who pays the commission

You, out of ticket sales, or the buyer, as a booking fee added at checkout and shown before they pay. Set in your agreement

### Commission on refunds

Kept by default. Your agreement can give it back in proportion to what is refunded

### Payment gateway charges

Set out in your agreement

### Payout timing and method

Set out in your agreement

### Free tickets

No sale, so no commission

## Refunds and cancellations

You set the rules, and Headtilts carries them out. Refunds your refund window promises, and those for a cancelled event or a date a buyer can’t make, go out through Razorpay by themselves. Everything else waits on your list until you refund it or decline it. Buyers are kept informed by email throughout.

In every situation below, the commission follows your agreement: by default, it stays the same when money is refunded.

Situation

What happens to the ticket

What happens to the money

A buyer cancels inside your refund window

Cancelled, seat released

Refunded in full automatically

A buyer cancels outside it, or the event gives no refunds

Cancelled, seat released

Refund request joins your list: refund it, or decline it and the buyer is emailed

You cancel a paid ticket

Cancelled, seat released, buyer emailed

Refunded in full automatically if you’re allowed to send refunds; otherwise it joins the list for someone who is

You choose Cancel and refund

Cancelled, seat released

Refund sent straight away, in full or in part, with your reason

You give a partial refund

Stays valid, shown amber at the door, unless you cancel it too

Part of the payment goes back

You cancel the event

All tickets stop working, everyone is emailed

Everyone who paid is refunded in full automatically an hour later. Publish the event again within that hour to stop it

You postpone the event

Tickets stand, everyone is emailed

No refund unless a buyer cancels

The event comes back on a new date

Buyers can keep their place or say they can’t make it

Saying no refunds them in full automatically

A payment arrives after the seat has gone

No ticket is issued

Refunded in full automatically

An automatic refund keeps failing

Stays cancelled

Retried for about five hours, then left on your list. The buyer and your team are told

A refund is made in the Razorpay dashboard

Records update automatically

Buyer gets the same refund email

Once someone on a booking has been scanned in, they can no longer cancel it online, and no refund on it goes out by itself, even if the event is cancelled. Any refund after that is your decision.

Refunds that need you wait on the event’s Registrations page until you refund or decline them.

## On the day

Your door staff scan tickets on a phone and get one clear answer: green to let them in, amber to check, red to stop. They only see the door tools, not your sales or refunds.

Green to let them in, amber to check, red to stop.

Colour

What the scanner shows

What staff do

Green

Valid, with people still to come in

Let them in

Amber

Everyone on this ticket is already in

Check for a second use of the ticket

Amber

Payment disputed or partly refunded

Send them to the help desk

Red

Cancelled, refunded, unpaid, awaiting approval or on the waitlist

Do not admit

Red

Wrong event, or the event is postponed or cancelled

Do not admit

Red

Expired or invalid code

Ask them to open their live ticket

## Three details help on a busy night

### Group bookings

One ticket can admit several people, and the scanner counts them in as they arrive.

### Live tickets

You can choose QR codes that change every 15 seconds, so a screenshot stops working within about a minute.

### Poor signal

Door phones can judge tickets offline, and buyers’ phones keep a saved copy of the ticket they last opened.

## How your sales are protected

The system is built so that one ticket is never sold twice and one refund is never paid twice. We tested these cases with Razorpay test payments, including 20 people signing up at once for 5 seats: exactly 5 got places.

### Overselling in a rush

Seats are counted one sign-up at a time for each event

### Forged or replayed payments

Each payment is signature-checked and confirmed with Razorpay, for the right order and amount

### Buyer closes the tab after paying

Razorpay’s notification still completes the booking and sends the ticket

### Payment arrives after the seat has gone

No ticket is issued, and the money goes back to the buyer automatically

### A refund submitted twice

Only the first request sends money, and the repeat is refused

### Chargebacks

The ticket is flagged amber at the door, and refunds pause until the dispute is settled

### A scanned ticket being cancelled for a refund

Once someone is in, the booking can no longer be cancelled online

### Bots and fake sign-ups

A bot check on the form, plus optional email confirmation for free tickets

### Emails failing to send

Event-wide notices are saved and retried automatically, with progress shown in your editor

**You also keep your own records.** The registrations list exports to a spreadsheet with payment status, amount paid, amount refunded, check-in and each person’s answers.

## Questions organisers ask

### Does a refund reduce the commission?

Not by default: commission is earned when the ticket is sold, and it stays the same if that ticket is later refunded. Your agreement can instead give it back in proportion to what is refunded, and your event’s terms say which applies.

### Do I pay commission on free tickets?

Free tickets have no sale value, so there is no sale to take a commission from.

### Who decides whether a buyer gets a refund?

You do, by choosing each event’s refund window. Cancellations inside it are refunded automatically; the rest wait on your list until you refund or decline them, and the buyer is emailed your answer. If you cancel the event, everyone who paid is refunded automatically an hour later.

### How long does a refund take to reach the buyer?

The buyer’s email says it usually takes 5 to 7 working days to reach the card, UPI or account they paid with.

### Can I refund only part of a ticket?

Yes. A partial refund can keep the place booked, and the ticket then shows amber at the door. A full refund always cancels the ticket.

### What if my date changes?

Postpone the event and everyone is emailed. When you set the new date, your deadline, agenda and sale end move with it. Buyers can then keep their place, or say they can’t make it and get a full refund automatically.

### Can I turn down a refund request?

Yes, for the requests your rules leave to you: a cancellation outside your refund window, or a booking someone was already let in on. Decline it on the event’s Registrations page and the buyer is emailed that you’ve said no. Refunds your rules promise, and refunds for bookings you cancelled yourself, can’t be declined.

### Can I stop an automatic refund?

If you cancel an event by mistake, publish it again within the hour and no refunds go out. A buyer’s cancellation inside your refund window is refunded within minutes, so choose the window before you open sales.

### What if an automatic refund fails?

It is retried for about five hours. If it still fails, it stays on your list for you to sort out, and the buyer and your team are emailed.

### Can my staff see my sales?

Only if you allow it. Door scanning, managing registrations and sending refunds are separate permissions.

### Do buyers need an account?

No. Their ticket and booking page come from the link in their email.
